Recruiting Coordinator

About the role

Higgsfield AI is seeking a Recruiting Coordinator to serve as the operational backbone of its talent acquisition team. You will ensure that candidates, recruiters, and hiring managers move through the hiring process quickly and smoothly, removing administrative friction and delivering a strong candidate experience.

Key responsibilities

• Coordinate interview schedules across multiple time zones, manage rescheduling, and provide interviewers with the correct materials and instructions.
• Act as the primary point of contact for candidates, sending confirmations, preparation materials, and logistical information throughout the interview process.
• Maintain accurate Ashby candidate records, interview stages, sources, and notes; monitor missing scorecards and keep recruiting data clean.
• Partner with recruiters and hiring managers to manage pipelines, gather feedback, and ensure all approvals are in place before offers are issued.
• Support recruiting team operations by maintaining trackers, documentation, and identifying opportunities for automation.

Required profile

• Highly organized and exceptionally detail‑oriented, able to manage many simultaneous processes.
• Strong written communication skills in English and Russian.
• Professional demeanor when interacting with senior candidates and executives.
• Comfortable thriving in a fast‑paced, high‑growth environment.
• Experience with Ashby and LinkedIn Recruiter; interview coordination across multiple countries is a plus.
