Document Controller / EDMS Manager

About the role

The role leads the selection, configuration and roll‑out of a project‑wide online design management collaboration platform and electronic document management system (EDMS) for a Grade A super high‑rise mixed‑use development in Almaty, ensuring bilingual (English/Russian) documentation and compliance with ISO 19650.

Key responsibilities

• Lead the evaluation, configuration and roll‑out of the online design management collaboration platform and the project EDMS in line with ISO 19650.
• Define and maintain document numbering, metadata standards, folder structures, revision control, distribution matrices and access rights for all project parties.
• Configure and administer review and approval workflows, automate tracking of due dates, overdue reviews and resubmissions.
• Manage user onboarding, training, support and access‑rights administration across employer, contractor and consultants.
• Operate the email fallback protocol when the platform is unavailable and reconcile records afterwards.
• Register, distribute and track all correspondence, drawings, specifications, RFIs, submittals, meeting minutes and contractual notices, maintaining a bilingual English‑Russian documentation regime.
• Produce regular document control reports on outstanding deliverables, overdue reviews and register status for the Program Director.
• Oversee archiving, hand‑over documentation and close‑out records at project completion.

Required profile

• Diploma or degree in document management, information management, engineering or construction‑related field.
• Minimum 8 years document control experience on major construction projects, including at least 3 years in a lead or EDMS administrator role.
• Hands‑on experience with a leading EDMS/CDE platform (e.g., Aconex, Autodesk Construction Cloud, Procore) and workflow configuration.
• Fluent written and spoken English, Russian and Kazakh.
• Working knowledge of ISO 19650 information‑management principles.
• Experience working in multi‑party environments with employer, contractor and independent consultants.
• Willingness to reside in Almaty for approximately four years.
